1) The term ¡®Exhibition¡¯ means BIFCOM2009, which stands for Busan International Film Commission & Industry Showcase.

2) The term ¡®Exhibitor¡¯ means exhibiting domestic and overseas film commissions and other state-led film related agencies, and representatives of various film related companies such as film production equipment makers & suppliers and post productions houses.

3) The term ¡®Secretariat¡¯ means Busan Film Commission, which hosts the BIFCOM2009.

4) The term ¡®Exhibition Hall¡¯ refers to the Paradise Hotel, Haeundae Busan where BIFCOM2009 takes place.

5) The term ¡®Exhibits¡¯ means all the items brought by Exhibitors to the Exhibition Hall, for the purpose of exhibition at BIFCOM2009. Exhibitors may be requested to submit the Exhibits Check Lists to BFC, for safe shipment of items that require special care.

6) The Secretariat will decide the standard look and size of booths, and booth allocation, in accordance with application order and the design of the exhibition hall. The Secretariat will then inform Exhibitors of its decision, which shall not be challenged by Exhibitors. However, industry exhibitors may be granted limited changes in appearance of booths, after close and careful consultation with the Secretariat.

7) Once the application is granted, the Exhibitor has the right to the booths allocated to them. Exhibitors are not to sub-let the whole/part of the booths to third parties who are not stated in the application.

8) The Exhibition Hall is open to Exhibitors from 9:00a.m. to 6:00p.m.

9) Exhibitors, who need to use the Exhibition Hall out of the stated opening hours, may be granted extended use after consulting with the Secretariat.

10) If Exhibitors wish for cancellation, they must inform the Secretariat 30 days prior to the exhibition date.

11) If a formal Application Form is not filed by the due date without prior notice to the Secretariat, the Secretariat may consider Exhibitors¡¯ participation cancelled.

12) In case of natural disasters or other unavoidable situations, the Exhibition dates or places can be changed or cancelled.

13) The standard booth package is US$1,000 (ex. tax). The assigned booths can not be sub-let to other parties who are not stated in the contract. Exhibitors, who wish to share a booth with another Exhibitor, need to discuss this with the Secretariat before 4th September 2009.

14) Activities such as selling merchandises or aggressive touting are prohibited. The Secretariat reserves the right to withdraw any Exhibitors who violation these guidelines. The Secretariat shall not compensate any financial damages generated from such incidents.

15) Special rates for hotel accommodation are available for Exhibitors. The Secretariat will also provide hotel information to Exhibitors.

16) All Exhibitors require a BIFCOM badge to enter the Exhibition Hall. Only the name of the registered badge holder and the exhibitor will appear on the badge.

17) Maximum of 4 badges can be issued for one exhibitor.

18) One free Asian Film Market badge can be issued per one booth. All the necessary information for the badge must be submitted by 15th August 2009.

19) The Exhibitor willing to have a cocktail party at the guest lounge, BIFCOM2009, should notify and contract with BFC secretariat in advance and take all the expense for the party.

 

1) BIFCOM2009 booths are available at US$1,000 (ex. tax.) per booth.

2) Cancellation: Cancellations made after 11th September 2009, the Secretariat will not refund booths fees and other expanses.

3) Booth Color: White (Frame: Silver)

4) Booth Size: 1.5m(deep) * 2.4m(wide) * 2.4m(height)

5) Furniture & others: one Desk, two Chairs, two Spotlights, four Exhibitor ID Badges per booth, one ID Sign.

6) Industry exhibitors, who wish to use custom made booths rather than our standards booths, should consult with the Secretariat first. All the cost generated from not using BIFCOM standard booths, must be covered by the Exhibitor.

7) Booths should be assembled and decorated from 14:00 a.m. to 6:00 p.m., 11th Oct. 2009.

8) No Exhibitor will be allowed to disassemble their booths or remove exhibits before 4:00 p.m. 14th Oct. 2009.

9) Exhibitors are allowed to display audio-visual materials in their booth. BFC do not take any responsibilities for the contents of materials that are displayed by Exhibitors.

10) Audio-visual equipment can be hired at additional cost. If Exhibitors require audio-visual equipment hiring, fill out the order form. Specific information will be provided hereafter.

 

1) All the shipment should be delivered to the Exhibition Hall on from 10th to 11th Oct. 2009. The shipping address is as below. Please make sure that all cartons and packages are clearly attached with BIFCOM 2009(label) and name of Exhibitor.

2) Exhibitors from member countries of the ATA (Air Transport Association) Carnet can be exempt from import tax, by declaring temporary import to Korean customs. However, ATA Carnet does not cover all shipments ?arms and some special effect equipment are not covered. For details, please ask the Secretariat for help.

3) The Secretariat does not pay for any shipping expanses.

4) DHL offers 20~30% discount to our Exhibitors. Please contact BFC for more information.

5) Please follow the Korean customs formalities for the shipment of the special props, for example, arms and helicopter, and BFC Secretariat does not take any responsibility under the illegal circumstance. It would be more convenient if you give a notice in advance.

2) Simultaneous/consecutive interpretation (English/Korean) is available for all events.

3) The Secretariat and Exhibition Hall must make all effort to ensure to have a safe and secure exhibition. The Exhibition Hall and Exhibits will be guarded with security guards and CCTVs.

4) The Exhibition closes at 6:00p.m. Exhibitors shall cooperate with the Secretariat and the Exhibition Hall to safe guard the Exhibition and Exhibits against possible burglary and/or vandalism after closing hours.

5) The Secretariat shall not be held liable for any damage, loss and/or robbery of Exhibits caused by not following the Secretariat and the Exhibition Hall¡¯s security instruction. Exhibitors who wish to stay in the Exhibition Hall after 6:00 p.m. should discuss this with the BFC in advance.

6) The business meeting room in the exhibition hall is open exclusively to BIFCOM badge holders.

7) Free snacks and beverages will be offered to BIFCOM badges holders at the business lounge in exhibition hall.

8) Exhibitors can request for volunteers for assistance, within reasons.

9) BIFCOM schedules and other related information will be available at the Information desk and BFC office. If you need any assistance, simply ask them.

10) Free parking spaces are available for Exhibitors and visitors. However, for trucks and other larger vehicles, please use designated parking spaces adjacent to the building.

11) Exhibitors are the primary caretaker of their Exhibits. The Secretariat is not responsible for any loss or damage of Exhibits at all.

12) If Exhibitors or visitors are responsible for fire or any loss/damage of Exhibits, they will be held liable.

13) Because of the ground condition of the exhibition hall, the weight of exhibits is limited. If one exhibit is over 1ton/1§³ or 5tons of weight, the exhibitor should consult with the Secretariat in advance.

14) If Exhibitors are found not following this weight restriction, they could be held responsible for their actions.

15) Exhibits must be within assigned booths and/or spaces.

16) Exhibitors should consider safety of people and property, and the effect on other Exhibitors when he/she is giving a presentation.

17) The Secretariat or the Exhibition Hall can restrict or halt Exhibitors¡¯ presentations, if they consider the safety is in question.

18) Sound level should not be above the level of disturbing the other booths (80dB or less).

19) Speakers and other audio equipment should be installed no higher than 1.2m from the ground, and speakers should not face out the booth.

20) TVs and multi-vision monitors should be installed 1m away from the aisle, and they should not obstruct visitors¡¯ passage.

21) If an Exhibitor disturbs other Exhibitors or visitors, the Secretariat might be forced to take measures such as cutting powers to their booths.

22) No aggressive touting is permitted in the exhibition hall.

23) No sale of merchandise is permitted within the Exhibition Hall, except for printed publications.

24) If Exhibitors install custom made booths or larger Exhibits, they should be completely removed, and the Exhibition Hall must be restored to the original condition within 24hours after the Exhibition.

25) If the restoration is not complete within the given time, the Secretariat may dispose the remaining objects and charges the expanses to the responsible exhibitor.

26) Exhibitors should remove all the exhibits, equipments and other materials used in the exhibition completely.

 

1) All Exhibitors should submit a Press Kit (presentation of the company, history, demo-tape/DVD(NTSC), brand icon etc.) to the BFC.

2) Some of the Press Kit (demo-tape/DVD, picture, brand icon etc.) can be used for BIFCOM publicity in advertisements.

3) BIFCOM2009 Guidebook will be published with detailed information of all Exhibitors in both Korean and English.
Advertisements on the Guidebook are available for all Exhibitors at a charge.
A copy of the Guidebook will be distributed to all visitors and exhibitors at no charge during the exhibition. When requested, extra copies can be delivered after the exhibition. (Delivery charges apply)

4) Copies of BIFCOM2009 Guidebook will be distributed to major Asian filmmakers and productions after the exhibition.
